There is none so busy as those who do nothing.
No matter how busy people are, they always stop & talk about how busy they are.
People who talk too much about how busy they are, they’re not.
Busy people don’t even have the time to talk much because they work much. Work on but take a break every 90 minutes. This way you can rest, recharge and still maintain productivity. Takes a lot of discipline to do this.

On November 18-20, 2011, we were at the Cebu Marriott Hotel for the LEAP organized seminar for Executive Assistants, HR and Administrative Professionals. The seminar was going on marvelously, everybody was on high spirits and enjoying themselves. It came to my mind that we have to share what’s happening here with other people whether or not members of our association. During the second day of the seminar, I started looking for somebody who could write an article about the event in order for LEAP to share the learning and the experiences even through writing. I mentioned to Renee what I was thinking and she suggested “Tintin”, one of our participants. That suggestion was seconded by Erlynne and I thought this was a very good idea. It seems my LEAP colleagues were aware of her talent in writing. Tintin is not a member of LEAP and so it would be a good opportunity to hear from one with a different point of view. We talked to her and she did not even hesitate in saying yes. She willingly accepted our request and was just happy to do it. So, matter solved, somebody will write an article. True enough, she is very talented and submitted this article in a short time. To Tintin, thank you very much – we salute you.

Tintin is the Executive Assistant of the VP for Operations of Clark Development Corporation, Clark Field, Pampanga

-Tess Francisco-Floedl

by Christine C. Trent-Mosuela

The Seminar was organized by the League of Executive Assistants of the Philippines (LEAP) in coordination with Power Speak, Inc., with Mr. Severino “Joey” P. Reyes as our Resource Speaker. Around 50 EAs and Administrative Personnel from various companies in the Metro Manila, Makati, Angeles City, and Cebu areas joined and participated in the said seminar.

Ms. Jinky Aguinaldo, LEAP’s Chairman, challenged us when she said that we may already know the things that will be discussed. However, these are just reminders because sometimes, through the years, we tend to forget them and we have to look back and go back to the basics.

Another aim of LEAP is to challenge the EAs to explore, question and discover their lives to expand their personal and professional skills. The seminar was also envisioned to be refresher, not on the skills of being an EA but on their worth and value as individuals and as team workers as well. As a whole, the seminar focused on the inner person.

Basically, the seminar kicked off with the Speaker asking us to form ourselves into groups of five and share about ourselves. There was a scribe who wrote everything that was being said by the speakers and eventually everyone said something about each other; it was a feel good activity. It was a moment of saying something nice about us and then the others confirmed and added even more. It was a time of giving and receiving compliments.

One of the things discussed was the Pygmalion Effect or Rosenthal effect in the Workplace. It refers to the phenomenon which is, the greater the expectation placed upon people (often children or students and employees), the better they perform. Our speaker, Joey Reyes motivated us to think positively of ourselves to get positive results. It is also true of bosses, when a boss has high expectations of an employee this raises the employee’s self-expectations, resulting in an increase in their own performance. When bosses have low expectations of their employees, performance is negatively impacted. When someone trusts in our abilities and believes in us, especially at times when we are doubtful of our own abilities, it compels us to reciprocate by fulfiling those expectations. Sometimes it is the trust others have in us that propel us to new heights and motivate us to outperform.

Three R’s to avoid

Life will not be as successful as it should be if we will harbor Resentment, Resistance and Revenge.

Resentment is a negative emotional reaction when things are said or done to us. Resentments should be written in water instead of carving it on stone or wood.

Resistance is refusal to patch up with the ones who have wronged us, or so we thought.

Revenge slows down work as we concentrate on getting even. Even God said, “Revenge is Mine”. We have to learn to forgive and forget the past hurts so that we can move on.

PROGRAMMED FROM THE PAST

As individuals, we have been cared for and loved from infancy, or unfortunately sometimes, the opposite. As a child grows, there are certain values that are being picked up from the parents and the caregivers and these will be the pattern that will be used in life into adulthood. The choice is ours, whether we will continue being bitter or desire to live a better life in spite of our past hurts and disappointments.

FOCUS

We were taught to focus on our goals if we would like to succed in life. Goals have to be: Specific, Measurable, Attainable, Risky and Time-bound. However, in the course of our trying to achieve our goals, obstacles will always be around. It is the manner by which we handle these obstacles that would determine if we could attain our goals. Intention always matters. If we have the intention to succeed, then there will be various mechanisms that we can think of and apply to achieve positive results.

I AM

We have to know who we really are. The motivator asked us to write down five of our characteristics. He told us to concentrate on the BE-DO-HAVE: Meaning, you need to BE first, before you can DO, and then you can HAVE. He repeatedly said that “as a man thinketh in his heart, so is he.” The way we perceive ourselves in our mind is what is going to come out from our speech and from our actions. We have the opportunity to change our PROGRAMS if these are not helping us become the best person that God has envisioned us to be. Mr. Reyes said that “we were created in the image and likeness of God,” therefore, there is good and beauty in us. We should not think of ourselves as otherwise.

GIVING AND TAKING

“A person is paid in direct proportion to the service that he renders mankind.” It is another way of saying, “As you sow, so shall you reap.” If you give peace and love to everyone you know and meet, you will receive peace and love in return. If you are hateful and cruel, hatred and cruelty will enter your life.

We were challenged to begin neutralizing our past negative feelings and start to do things for the right reasons. When we become the person that we can love and respect, then we will be loved and respected by others. This is what we must strive for everyday. Become a leader of GOOD, and help others by having the strength to overcome the hatred of the world.

When we start living our lives as a giver, we will fall in love with ourselves, life and everyone we meet.

The Seminar wasn’t just about the lectures. It was also about the camaraderie developed among the participants. As a first timer in LEAP, I saw how closely-knit the group is. I witnessed that most of the members know each other like the “palm of their hands”; maybe because they come from the same company, the same office. But I guess one factor that made them closer to each other is that they have a common denominator and passion, and that is their love for their profession and the people they work for and with.

On our first night, Marriott Hotel sponsored a Barbeque Night by the Poolside. It was an awesome experience seeing everyone on their feet dancing the night away with our speaker. Some members like Camille, Riza and Kathy went up to jam with the band. It was fun seeing everyone having FUN. Even Ms. Renee couldn’t help it but dance and boogie! It was fun doing the L.A. Walk when the song “Achy Breaky Heart” was sung.

Sharing of experiences also happened during the breakfasts and lunches. Albeit short, the things that we have learned from and about each other is something that we will treasure and would like to tallk about again when we see each other in the next meetings, fellowships or maybe another seminar.

We may not have had the time to explore the beautiful City of Cebu, Queen Cityof the South, as it is fondly called, due to time constraints, but being with the LEAP team is just as exciting and fun.

To the LEAP leadership, KUDOS for putting up a very successful seminar inCebu. Till we meet again!

by Camille Garcia

Last July 20, 2011, I was able to attend the monthly GA/Fellowship meeting of LEAP and I was blessed by the message from our guest speaker. It was my second orientation with LEAP and as always they never failed to welcome me with warmth. The topic, “Managing Emotions @ Work – An EQ Guide for Executive Assistants & Office Professionals”, was conducted by Ms. Ging Igual, a Certified and Licensed EQ trainer of HumaNext Communication Ideas, USA. I was so excited on what lessons she had in store for us that night as I have been really trying to understand how to handle difficult people. A lot of us are experiencing or have experienced emotional stress at work, at home, or anywhere else and we would like to find out how we can manage this.

But the question that hit me was how do we manage these emotions and practice the methods to apply it on our daily lives? According to Ms. Ging, there are four factors that have to be present at all times in relationships among individuals. These are communication, commitment, contribution and connection. She explained how the attitude of individuals based on these four factors could differ due to their experience and mindset. She also explained EQ as the ability to think clearly and constructively and to act wisely which all lead to a HEAL-THY emotion. Ms. Ging presented the four basic emotions (Anger, Fear, Sadness, Happiness) and lead us – through questions and answers – into understanding the cause and effect of these emotions and what future emotion it could lead us to. Everyone agreed that out of those four emotions only HAPPINESS is positive and the one worth keeping. Some people are not ready for changes in their lives and they could not live outside of their comfort zone. The way I see things, life should be looked at on a bigger perspective.

In a Bible study that I attended at the beginning of this year they also tackled this topic in just one verse. In 1 Corinthians 13:5 “Love…is not rude. It does not demand its own way. It is not irritable, and it keeps no record of being wronged.” It was categorized in how we should handle difficult people in our lives.

How do we love very draining people? It is done with tactfulness. How do we love very demanding people? It is through understanding and patience. While for very disappointing people, we show gentleness. Lastly, for very destructive people, we can delete whatever they have done and make sure that we do not do the same.

I truly learned so much from the speaker.

I find it fascinating trying to get to know someone by asking the person who she is. And the kind of answer one gives right at the top of her head tells you one’s persona and what her priorities are.

For Tess, her answer to my question was “a housewife, a daughter, a sister, a mother (not necessarily in that order) – my everyday role”. Clearly, Tess prioritizes her family over her job. Although having come to know Tess over the last few years, I know she takes her job and her career very seriously. Tess says she is a fun loving, happy person who always finds things to do whether at the home front or at work. Yet she also takes time to seek a quiet place to relax and unwind after a stressful day. A lot of her quiet time though is spent on the computer, seeking and storing all sorts of interesting information that will help her in her continuing pursuit of self development and improvement.

A self-starter, she doesn’t need much help in the motivation department as she feels she has the same kind of energy today as she had 20 years ago, when she was working as a tutor at a day care center in Singapore. Her career history included stints in a resort hotel in Boracay as well as with a travel agency in Manila, where her degree in Foreign Service from the Lyceum University served her in good stead. In the last 14 years, she has been working as Assistant to the Commercial Counsellor at the Austrian Embassy, where she finds a lot of opportunity to practice speaking in German.

Born Ma. Teresa O. Francisco to a family of two brothers and two sisters, Tess was a source of pride to her family, having graduated salutatorian in elementary, and being in the top 10 of her high school graduating class. Tess worked her way through college, where she was likewise a resident scholar. No doubt her scholastic record jump-started her career, and things looked even brighter when she fell in love. Sadly though, she felt her world fall apart when she discovered she was deceived into believing that anything will come out of the relationship she was in. Being the strong woman that she was, Tess turned her back and walked away, ready to pick up the pieces, and found solace in the loving arms of her family.

Having found solid footing once again, Tess immersed herself in her work and dedicated her time and effort to providing a good home for her son and raising him on her own. Being the optimistic person that she was, she fell in love anew, confident that everything will work out in her favor that time around. However, fate threw Tess another curve. She had an argument with her boyfriend before he left for his province; shortly after, he fell into a coma and died of brain tumor. Tess found out about it long after the funeral, and all she could do was pray at his grave.

A woman of lesser substance would have succumbed to despair. Despite the cards she was dealt with, Tess once again picked up the pieces and forged ahead. After a few other relationships, Tess found the love of her life, Bernie Floedl. Having been together for 15 years, the last six as Mrs. Floedl, Tess found in Bernie the perfect life partner. Coming from different cultures, they continue to discover new things about each other, which makes for an interesting partnership, and further draws them closer to each other. Bernie considers her 21-year old son as his own and has a great relationship with him; he readily agreed to her decision to settle in the Philippines, and is very understanding of Tess’s continued support of her family. Tess sends to school her twin nieces, whom Bernie fondly refers to as his little angels, and she intends to send them through to college, an undertaking Bernie fully supports. Looking back, she says all the struggles she went through were what brought her to where she is now, and she said it was all worth it.

All’s well with her now; still, Tess feels she has a lot more to do, “My one burning ambition now is to be a trainer.” To this end, she is focusing her efforts in improving her knowledge, developing herself and getting involved in activities that will help her fulfill this new goal. Being the tough lady that she is, she will surely realize her dream.

by Frances Peria

(An excerpt from a Speech delivered during the 2011 National Convention of the Philippine Organization of Educators in Office Administration Foundation, Inc.at the Enverga University, Lucena City)

In the summer of 2007 a group of friends and professional women gathered together and had a series of meetings where mutual concerns regarding our common profession were discussed. Within a few months we formed an organization that we envision will allow the members to grow and be more sensitive to the changing times. We registered the organization with the Securities & Exchange Commission and in March 2009, the League of Executive Assistants of the Philippines, or LEAP, was born.

LEAP was formed not only for the personal benefit of its members, but to achieve our main objective of being true stewards of our profession. We all know that

“Stewardship is the management and responsible use of resources, nurturing it and giving it back.”

This is our way of giving back, and we are taking it a step further: we are paying forward. We help mold and develop those in our profession to be the best they can be, and achieve and hopefully surpass, the goals they have set for themselves.

We hope to enable our members to be effective leaders and managers of their own teams, and to be future decision makers whose opinions are sought by senior management. Doing these help us stoke our own passion and commitment. Doing these help keep ourselves current and keep ourselves relevant.

My dear educators, I encourage you to likewise keep yourselves updated by partnering with different industries who could give you the opportunity to experience corporate life first hand. While being mentors to others, find mentors for yourselves. As you send out your students to undergo on-the-job training, go and experience it yourselves.

I ask you to not stop at your field of expertise, I urge you to keep searching and ask yourselves “what else is there?” then go and learn about it. Always stay several steps ahead of your students. Take technology. Can you honestly say that you are more technologically savvy than most of your students? In the same token, do not be afraid to let your students know that you don’t know everything. It won’t hurt if you admit to them that there are some things that you could learn from them too.

Be relevant and effective. When I asked my 18-year old daughter what she expects from her teachers, she replied ”I want to learn something from my teachers, I want them to make me understand why we are being taught these things, and I want them to relate their lessons with life”. I couldn’t agree with her more. If you make learning fun for your students, and for yourselves, you would be more effective and better able to prepare your students.

And you will know you are doing a good job if the students tell you that they can’t wait to come to school and listen to you. I also exhort you, my dear educators, to teach your students to learn about commitment and to develop a passion for whatever they will do in the future.

As I look back, I think about how I came to be where I am now. And I am reminded not only of events that influenced me but most importantly of people who made the greatest impact in my life. Foremost among them is my family, the second being my teachers. And this is why I encourage all of you to be true mentors to your students and effective stewards of your profession.

In summary:

Draw your personal sphere of influence; learn from each of the factors who influence your life. Many of us go through life unaware, or without recognizing those who influence us, thus we lose the chance of learning as much as we could from them.

Embrace change; be agents of change. If nothing ever changed, there would be no butterflies. As Harold Wilson puts it, “He who rejects change is the architect of decay.”

Stay current; always be up to date, cognizant of what is going on around you. Be relevant.

Constantly renew your commitment and do not lose sight of your goal. There is a difference between interest and commitment. When you are interested in doing something, you do it only when circumstances permit. But when you are committed to something, you accept no excuses, only results.

When you have found your passion, nurture and strengthen it. Your passion about what you do will ensure your success. And while you are at it, be happy and have FUN!

Even if your Boss/Supervisor swamps you with petty tasks and doesn’t appreciate all you do, you can always “manage up” to make sure the boss’s boss knows your worth. Here are seven ways to do that:
1. Be the best at something by developing a high degree of skill on a topic or picking up technical knowledge (such as software skills) that can help your company. News of your expertise will trickle up.

2. Volunteer for a rush job or a project that’s running over deadline. Higher-ups will notice. Execs love employees who show their commitment to the team.

3. Seek out praise for your group. When you say, “My team did a great job,” that’s showing leadership skill that people will remember.

4. Nurture relationships with key clients. If you’re in a position to be indispensable to key clients, you’ll be able to build on your professional relationships with them.

5. Become a mentor. You’re never too young to share your experience with junior members of your organization.

6. Praise your boss—when it’s deserved—to your co-workers and other supervisors. Example: If your boss has been extra supportive of your career development, write her an e-mail telling her that you appreciate it. Be sure to “cc” her boss.

7. Gain a deep understanding of your boss’s goals, the department’s strategies and the company’s objectives. It will help you set priorities and make smart decisions about what work to tackle.
